Import OST to Office 365 for Multiple Clients: A Practical Guide for Managed Service Providers (MSPs)

As an MSP, one of the most common migration requests I receive is moving old Outlook OST files into Microsoft 365. The challenge usually isn't just the migration itself—it's preserving mailbox structure, reducing downtime, and making sure every client's data reaches the correct Office 365 mailbox without corruption.

When dealing with multiple customers, manual methods quickly become difficult to manage. Some OST files are orphaned, some are oversized, and others belong to users who no longer have access to the original Outlook profile. Add dozens of client mailboxes into the mix, and the migration becomes even more complicated.

In our recent project, we had to migrate several offline Outlook mailboxes belonging to different organizations. Each client had unique folder structures, archived emails, and business-critical attachments that had to remain intact. We also needed to avoid duplicate uploads while completing the migration within a limited maintenance window.

For these situations, we evaluated several utilities before testing the DRS Softech OST to PST Converter Software. The tool allowed us to preview mailbox content, perform batch processing, preserve metadata, remove duplicate emails, and export selected folders without affecting the original OST files. It also supported converting OST data into multiple formats, which proved useful when different clients requested different output types.

Around the middle of the migration, our primary objective shifted toward preparing the data to import OST to Office 365 for every client mailbox. Having filtering options, selective folder export, and support for large OST files significantly reduced manual work. Instead of rebuilding mailbox structures after migration, everything remained organized, including folders, attachments, calendars, contacts, and timestamps.

Another advantage was that we didn't need to rely on Outlook being installed on every technician's machine. That simplified deployment across multiple systems and reduced troubleshooting time.

For MSPs managing recurring migration projects, consistency and reliability matter more than flashy features. Whether you're onboarding new Microsoft 365 customers or consolidating legacy Outlook data, planning the migration carefully and validating mailbox data before import can save many hours later.
